The i+o project portal supports the project management in numerous service sectors.
Document Management
In order to be able to administrate all information in the form of documents, an easily operable filing structure is required that simultaneously satisfies complex projects. This prerequisite is provided by way of the project portal of i+o. Integrated work with the Microsoft office products is easily possible via access-controlled windows-like explorer operation, and a holistic project documentation for all project participants can be done centrally in equal measure. For example, all project participants can be informed by a click of the mouse on when new documents will be available.
Time Management
The organisation of a project requires clear operating sequences. Meetings are coordinated centrally in the project portal, invitations are generated automatically and sent out through a click of the mouse. The invited meetings can be integrated directly into the outlook calendar of the participants. The confirmation tracing provides clarity with regard to attendance. Planned subjects will not be forgotten since the status tracing provides information on the status of each and every subject.
Protocol Management
All meetings will be recorded. The existing data from the meeting information will be automatically read into the record. Thus, no information will be registered redundantly. Following the preparation of the record, all data, decisions, etc. will be available in clearly laid out form in the project portal. The record will be filed in archivally safe fashion and will be therefore be readable for every access-authorized person at the respective current status.
Task Management
In order to assure a continuous project course, it is indispensable to process the accruing tasks on schedule. To this end, manually deposited tasks as well as those extracted from the records can be easily traced in the project portal. All information will be recorded in a task journal to the effect that any changes of due dates or responsibilities can be retraced in equal measure like current comments or status information. In this context, different filters can be set upon request so that one can only see the partial section of a task that is needed.
Resource Management
Particularly in multi-layered projects with numerous partial projects it is important to distribute and employ the available resources with great care. To this end, manpower resources can be planned in advance in the project portal for each (partial) project in order to be able to counteract any bottlenecks ahead of time. Resources can thereby be controlled efficiently and in anticipatory fashion across several (partial) projects. Clearly arranged reports make this function to strategically valued instrument.
